How to link your email
Link your mailbox once and BillBetter.AI checks it every few minutes. Emails carrying a bill — a PDF, a photo, or a billing-style message — are read and recorded for your review. Marketing and newsletters are ignored.
Everything happens under Email in the app's top menu.
Outlook / Microsoft 365 / Hotmail
- In the app, open the Email tab and choose Microsoft 365 / Outlook.
- Click Sign in with Microsoft. A short code appears on the screen (something like ABC-DEF-123).
- Go to microsoft.com/devicelogin — the page opens in a new tab — and type in that code.
- Sign in with the email account you want to link and approve the access request.
- Come back to the BillBetter.AI tab. Within a few seconds it flips to "Linked via Microsoft 365" on its own. Done.
Gmail
Google requires a special App Password for mail apps — your normal password won't work. Two minutes, one time:
- Make sure 2-Step Verification is on for your Google account: myaccount.google.com/security. (App Passwords only exist when it's on.)
- Go to myaccount.google.com/apppasswords and sign in.
- Under "App name" type BillBetter and click Create. Google shows a 16-letter password — copy it (spaces don't matter).
- In the app's Email tab choose Gmail / other IMAP and fill in:
IMAP server: imap.gmail.com
Email address: your Gmail address
Port: 993
Password: the 16-letter App Password from step 3 - Click link — the status card appears and the first check runs within a couple of minutes.
Any other email provider
Use the Gmail / other IMAP option with your provider's settings — search the web for "your provider IMAP settings". You need three things: the IMAP server address (e.g. imap.mail.yahoo.com), port 993, and your password (some providers, like Yahoo and AOL, also use app passwords — their security pages have a "generate app password" option).
What happens after linking
- Set your start date. On the Email tab, "Only read emails received on or after" controls how far back BillBetter.AI reads — set it to today if you only want new bills.
- Bills record themselves. Emails with a bill attached (or billing-style receipts like a phone bill) are read — biller, amount, due date — and appear in your Bills as pending, with the document attached.
- Unsure ones wait for you. Anything the reader isn't confident about lands in the Review inbox at the bottom of the Email tab, where one click records or dismisses it.
- Sent mail is optional. Tick "Also read my Sent mail" if you email invoices out and want them recorded as sent bills.
If something doesn't work
"Sign-in failed" with Microsoft — the code may have expired (they last ~15 minutes); click Sign in with Microsoft again for a fresh one.
Gmail says the password is wrong — make sure you're pasting the 16-letter App Password, not your normal password, and that 2-Step Verification is on.
Linked, but no bills appear — check the start date isn't set to a future day, then press Check now. The status line under "Linked mailbox" reports what the last check found.
