This policy explains what BillBetter.AI (billbetter.ai) collects, why, and who it's shared with. The short version: we store what's needed to run a billing platform, your payment details live with Stripe rather than with us, we don't sell data, and we don't show ads.
Your account details (name, email, a hashed password). The bills, invoices, line items, notes, and attachments you create, receive, record, or import — including counterparty names and emails. Your folder organization, company details (address, phone), and team memberships. If you link a mailbox: the credentials or sign-in tokens needed to check it. Payment records (amounts, status, and non-sensitive labels like "Visa •••• 4242"). Basic technical logs needed to operate the service.
Card numbers and bank account numbers never touch our servers — they are entered on, and stored by, Stripe. We keep only display labels and Stripe's reference IDs.
If you connect an email account, we periodically read messages from it solely to detect bills, receipts, and statements. Message text and attachments that look like bills are processed and, when recognized, stored as bills or review items in your account. We don't use your mailbox for anything else, and unlinking your mailbox in the Email tab removes the stored credentials and stops all access.
Some features read documents and text with AI to save you typing. When you use them, the content is sent to Anthropic PBC (a US company, our AI provider) for processing: documents you upload for reading — bills, receipts, invoices, leases, rent rolls, contractor proposals, payroll and sales registers — along with emailed bill content, imported spreadsheet headers, card- and bank-charge descriptions (to suggest a spending category), and messages you type into the in-app help chat. What comes back is the extracted details or a suggestion, which you can always correct. Under Anthropic's API terms, this data is not used to train their models.
AI reading is optional. In the mobile app, the first time a feature would send a document to the AI reader, the app explains what will be sent and asks your permission — and you can turn AI document reading on or off any time in the app's Settings. With it off, files still attach to your records and every field can be entered by hand.
The counterparty on a bill sees that bill (that's the point). Teammates you add to a company see the bills filed in that company — nothing else in your account. Our service providers process data on our behalf: Stripe (payments and payouts), Anthropic (AI document reading), Resend (sending email notifications), and Render (hosting; data encrypted in transit and at rest on managed infrastructure). We don't sell your data, we don't share it with advertisers, and we disclose it beyond the above only if legally required.
One cookie: a session cookie that keeps you signed in. No tracking or advertising cookies.
Your data is kept while your account is active. You can delete your account yourself at any time — on the web under Settings, or in the iPhone app under More → Settings → "Delete account…" — or contact support. Deletion permanently erases your email address, password, folders, linked banks, and connections, and sign-in stops working. Because a bill has two parties, records of bills you exchanged with others are retained for the other party as their business records; those records show your name marked "(account closed)". If you later create an account with the same email address, your account reopens and your bill history is restored to you.
